The class timetable

Setting up an academy's weekly classes, who may attend each one, and how members see their own week.

For:Academy ownerCoachParentAthlete

An academy's timetable is its week of classes: what runs, when, and who may walk into it. Once it is set up, every member can see their own week without a phone call or a group chat.

Adding a class

Open your academy page and choose the Timetable tab, then Add a class. Only the owner and academy managers can change it; everyone approved at the academy can read it.

A class carries four kinds of information:

What it isA name, and optionally the sport it belongs to. A conditioning or open-mat class needs no sport.
When it runsA day, a start and an end. Times are the academy's own wall clock — there is no timezone anywhere in the timetable.
Who may attendAn age band, a minimum rank, or both.
Who takes itAny number of coaches, plus a room or mat and a colour.

Who may attend is the important part

This is what makes a martial arts timetable different from a generic calendar. A parent scanning the grid is looking for the class their eight-year-old is allowed to attend, so the age band and minimum rank are shown on the block itself rather than hidden behind a click.

  • Age bands are inclusive at both ends. "5 to 12" admits a twelve-year-old.
  • Leave a bound blank for an open end — a minimum of 16 and no maximum reads as "16 and up".
  • The minimum rank comes from the chosen sport's belt ladder, so it can only be a rank that sport actually has. Change the sport and the rank resets.
  • Leave everything blank and the class reads "Open to everyone", which is the honest description of an open mat.

Overlaps and double-bookings

Two classes at the same time is normal at an academy with two mats, so an overlap is allowed and simply reported after you save.

One warning is worth reading properly: if a coach on the class you just saved is already taking another class at the same time, you will be told. A coach cannot be in two rooms, and this is the mistake that actually causes a Monday evening to fall apart.

What members see

Every approved member sees the academy's whole week on the Timetable tab.

Their own week lives on their profile, under Schedule — and a parent sees one section per child, each with its own accent colour, so two children's Tuesdays never blur together. That grouping is worked out by the server: a child's academy membership belongs to the child, not the guardian, so the browser has no way to assemble it.

Colours

The colour on a class is for scanning, not for meaning. Nothing is decided by it, and every class also states its entry requirements in words — so a timetable is still readable to someone who cannot distinguish two of the colours.
