Reviewing applications
How administrators vet business verification applications and what approval does.
Administrators are the gate in front of every academy and organiser company on MatComp. This page describes what the review involves and what your decision actually does.
The queue
Review applications in the profile menu opens the queue, filtered by default to applications awaiting review. You can also filter to approved, changes requested, or all.
Each row shows the entity being applied for, the applicant, their ABN, and when they submitted.
What to check
Open an application to see everything the applicant provided, and their documents.
The legal name matches the document
The registered business name on the application should match the name on the ASIC extract or ABN registration. A mismatch is the single most common reason to send an application back.
The ABN is plausible
The checksum is validated when the applicant types it, so the format is already correct. What you are checking is that it belongs to the business named.
The document is legible and current
Documents open in a new tab. An expired or unreadable extract is worth asking about.
The entity details make sense
The academy or company being created should be consistent with the business behind it.
Approving
Approve and create does four things in one transaction:
- Creates the academy or organiser company
- Creates the parent organisation, if one was named and does not already exist
- Adds the applicant as owner
- Grants the corresponding role
Requesting changes
Sending an application back requires a written reason, and the reason is mandatory for good cause: the applicant sees exactly this text and nothing else.
Write something they can act on.
- Unhelpful: "Rejected — invalid details."
- Helpful: "The ABN provided is registered to Fletcher Holdings Pty Ltd, but the application names Fletcher Events. Please upload a current ASIC extract matching the legal name on this application."
The applicant edits and resubmits the same application, so when it returns you can see its full history rather than judging a fresh-looking first attempt.
Documents and privacy
Proof documents are personal business records. They are stored outside any publicly served directory and can only be opened through an authorised endpoint — by the applicant themselves, or by an administrator.
